Build the tracker
Use three fictional requests. Give each one a clear next action, a due date and a consistent status.
Write the email
Acknowledge one request and ask the precise question needed to move it forward. Check names, dates and unsupported promises.
Package the sample
Save the tracker and email with a short explanation of your choices. Describe the work honestly as a self-directed practice project.
Step 1 detail: build the tracker
Imagine that you support a three-person community workshop. Three fictional participants have asked for different things: a venue address, a schedule change and a receipt. Your assignment is to make the next action clear without losing a request. This scenario is our original practice exercise, not a real employer assessment.
Create a simple table with request ID, request date, request type, next action, due date and status. Use invented names or just A, B and C. Put a short note above it explaining that the data is fictional. You can do this in a spreadsheet, a document or on paper before typing the final version.
Make the statuses consistent. For example, use “new,” “waiting for information” and “completed,” then define what each means. Mark a task complete only when your scenario includes the response that resolves it. The goal is a tracker another person could understand, not a complicated dashboard.
Step 2 detail: write the email
Choose the participant asking for a schedule change. Write a short email that acknowledges the request, states what you know and asks one precise question you need answered. Include a useful subject line. Do not promise a revised schedule unless your fictional brief says you are allowed to confirm it.
Now edit the email once. Remove a sentence that repeats another sentence. Put the requested action where a reader can find it. Read it on a phone-width screen and check whether names, dates and the next step still make sense. Keep both versions so you can explain what you improved.
Optional AI review: keep it factual
Review this fictional administrative email for clarity. Use only the facts in the draft. Do not add deadlines, approvals, refunds, credentials or promises. Identify one unclear sentence, one missing piece of information and one unnecessary sentence. Then suggest a shorter version, preserving the meaning. If a fact is missing, ask a question rather than filling it in. I will check and approve the final wording myself.
Step 3 detail: package your evidence
Save the tracker and your final email in a short PDF or a clearly named document. Add a paragraph explaining the scenario, the tool you used and your checks. If AI helped, say what it reviewed and what you changed. You should be able to walk through the sample without depending on the tool to explain it for you.
Describe it as a self-directed work sample. A truthful CV line might say that you built a fictional request tracker and drafted a follow-up email as a practice project. Adjust that description to what you actually completed. Do not turn the exercise into a fabricated client, job title or employment history.
Before you share the sample
- Every request has one clear next action and a consistent status.
- The email asks a specific question and makes no unsupported promise.
- Dates, names and request IDs match across the email and tracker.
- The file clearly says the data and scenario are fictional.
- You can explain one change you made after checking the first version.
A sensible next step, even if you are busy
Pick one course and one work sample. You do not need to collect several certificates before practicing a useful task. Work at a pace that fits your responsibilities, and keep a note of what you still find difficult so your next learning session has a purpose.
